HOW TO DOWNLOAD A TRACCS UPDATE

If you have not done so previously - downloading the latest update of TRACCS from the web is very easy.

PLEASE NOTE - You should be a system administrator or equivalent - to do an update on your computer system.

BEFORE YOU START - ESTABLISH A FALLBACK PLAN

  • BACKUP YOUR EXISTING TRACCS FILES - To protect against loss of data or unanticipated changes - you should make sure you do a full backup of your existing program files and database before doing the update.

    To ensure you have a fallback plan in case anything goes wrong during the update process - you can guarantee the ability to get back to your pre-update status by doing the following

    1. Backup the TRACCS program files for the current version. This can be achieved fairly simply by copying the existing TRACCS application files to an alternative folder available for restore if necessary. There are 11 files needed to be backed up. They reside in the folder that the TRACCS icon on users desktops points to to access TRACCS. You can confirm these details by using the mouse to right click on the TRACCS icon. The following screen will appear. The actual location is the words preceeeding the word traccs.exe in the target field. (ie in this case 'c:\program files\traccs'

    ln this folder there are 11 files that need to be copied/backed up prior to commencing an update. They are

    1. TRACCS.EXE
    2. RECIPIENTS.EXE
    3. STAFF.EXE
    4. ROSTERS.EXE
    5. TIMESHEETS.EXE
    6. REPORTS.EXE
    7. DAYMANAGER.EXE
    8. OFFSITECD.EXE
    9. HACCMDS.EXE
    10. NRCPMDS.EXE
    11. CSTDAMDS.EXE

    These constitute all the files for the current version of TRACCS you are currently running and will be overwritten by newer files in the update process
     

  • Once you have completed making a copy of these files - you should also make a backup of the TRACCS database file. The process for doing this varies from site to site and is usually governed by internal backup policy. You should ensure that a backup has been completed immediately prior to doing the TRACCS update - and that you have tested your ability to gain access to and restore the TRACCS database. This can be done simply by running a backup and then doing a restore. Running through this process will alert you to any issues or problems with your current backup and restore procedures. This should be done by your system administrator or equivalent.

  • Having completed this process - if there are any issues during the update - you simply need to copy the application files back the original TRACCS application folder, then restore the backup of the TRACCS database. This will take you back to a complete working system as it was immediately prior to commencing the update..

  • PLEASE NOTE - on some networked implementations of TRACCS it may be the case that the TRACCS application files as described above are installed on each individual workstation. Updates in this case require that the application files on each workstation are updated. Therefore it is better to do the update on only one workstation initially - to test that all functionality is complete and working - prior to updating the other workstations. This is not an issue if one copy of the application files are shared across the network in one form or another.

COMPLETE THE TRACCS UPDATE

NB. It is imperative that all users are logged out of TRACCS. Preferably any workstations should be shut down to make sure this is the case - leaving only the machine you are doing the update on active.

  1. Go to the Downloads Page

  2. Download the release notes for the version you are updating to

  3. If you wish to proceed - Download the appropriate TRACCS update

  4. Locate the update file on your Hard Drive

  5. Execute the update file.

There are a number of versions of TRACCS. The main ones shown on the downloads page are the HACC MDS 1 version, and the HACC MDS 2 version. Next to each of these is a link to allow you to download the release notes for the update. These release notes describe any changes, corrections or enhancements in the update. You should always read this before downloading - to ensure you understand the changes the update may make to the way you do certain things - or to identify things that are different in various parts of the TRACCS update.

To download the update - use the mouse to click on the option for the version that you require (eg TRACCS 5.10.36 ONI2 HACC MDS2)        

The following screen will display

The filename will be different each time you download according to the build number you are downloading. So for instance the real filename will say something like TRACCS_5_11_65 where the last 2 numbers refer to the build number.

You will be asked if you want to run or save the file. You should select save.

You will be prompted to identify what folder you wish to save the file to. You should select the folder that TRACCS is installed in. Normally this is c:\program files\traccs

NB. If you are running a multi user network it is possible that TRACCS is installed individually on each workstation. If this is the case then you will need to update each workstation individually. If the program files are only on the server - then you will only need to update the server normally.

If you are unsure where TRACCS is installed - you can confirm this by right clicking on the icon that you normally use to access TRACCS - and then selecting properties. This will identify the folder where TRACCS is installed.

After you have established where TRACCS is installed - save the file in that folder.

After the file has successfully saved - relocate the file TRACCS_5_10_xx.exe (or TRACCS_5_9.exe if MDS 1) using my computer or explorer, and use the mouse to double click on the file. The following screen will display.

The default destination for installing should be the location of the TRACCS folder as described previously. If not - use the browse button to locate the folder where TRACCS is installed as described above. Then click the install button. The following screen (or similar) will display

Select the Yes To All button to allow the update to proceed.

If the update proceeds normally then the file copy will complete and the update has been successfully completed

If traccs or one of the other components of traccs was in use by either yourself or another user when you did the update you will get an error similar to the following

The message in red tells you that one of the file was in use and cannot be created. If this occurs - you MUST redo the update from scratch - AFTER shutting down or logging off anyone who is in TRACCS.

You should ensure after running an update that you have properly registered any updates to any dll or ocx files that are associated with specific functionality in TRACCS. This can be achieved in one of 2 ways

1. After successfully completing the update - log on to TRACCS. From the Main Menu screen - select the Help option then select the Register NEW dll's/ocx option.

NB. To use this options you MUST be logged in with Administrator rights on the workstation you are attempting to update

2. If you cannot use/run this option then you will need to manually register the files using the windows regsvr32 utility. If this is the case you should refer to your I.T department or relevant local system administrator.

To complete this process manually you will need to register the files progressnotes.ocx and careplan.ocx.

Whether you use method 1 or 2 - the process should be repeated for each workstation that has TRACCS installed.
